PF Form 12 is a monthly statement of a provident fund that is prepared by the employer to capture the employee-wise contribution on PF in respect of a given wage period. It shows how much deduction made on the salaries of the employees, how the contribution made by the employer and way these have been allocated between the provident funds and pension portions. The form serves as a formal connection between the payroll records and the statutory deposits.
Form 12 was previously filed as a hard copy to the authorities of the Provident Fund. With the introduction of the Electronic Challan-cum-Return (ECR) system the format is not filed separately anymore. However, the data that Form 12 was meant to represent remains obligatory and is currently reported online via the EPFO portal on a monthly basis.
In practice, PF Form 12 demonstrates compliance discipline. It guarantees that the deductions made to the employees are not calculated but actually deposited within the stipulated timelines. For the employers, it acts as a monthly compliance record. For employees, it gives them the confidence that their retirement savings are being managed in a responsible manner and that they are managed in the official records of the provident funds.
